The problem

Two people in the office and about 400 calls and texts a month. Nobody answering after 5 PM or on weekends, so the after-hours leads called a competitor instead.

And half the messages were the same four questions. Are you open. How much for a tune-up. Where is my technician. Can I move my appointment.

What we built

One phone number customers text, with an AI agent behind it that answers in about two seconds, any hour of the day, wired into their calendar and their customer list.

It doesn't just reply. It checks real availability, books the real job, and writes it into their scheduling software. No menus, no "reply 1 for sales." The customer types normally.

A real booking made at 11 PM with nobody awake. Monday morning the office just saw a new job on the schedule.

Where it hands off to a human

Built in from day one. The agent passes to a person when the customer asks for one, when they sound upset, when it's about a bill or a refund, and when it doesn't know the answer. It says "let me get someone" instead of inventing something.

Staff take over in the same thread and the customer never sees the switch.

There are also hard rules it cannot break. No repair price without a diagnostic. No discounts. No promising a time that isn't actually open.

The result, after three months

  • After-hours leads captured: 40% to 94%
  • Reply time: over 4 hours to 3 seconds
  • Calls into the office: down 38%
  • Jobs booked by the agent alone: 71 in month three

What changed for the team

Nobody lost a job. The two office staff stopped answering "where's my tech" all day and started following up on unsold quotes instead, which is work that actually makes money.

What it costs to run

Under $100 a month at 400 conversations. The build is the real cost. Running it is close to free.

How long it took

Four weeks. Week one we learned their business and filed the carrier registration. Week two we built it and connected their systems. Week three their team tried to break it. Week four was a soft launch where a human approved every reply until the agent was consistently right.

Nobody should go fully automatic on day one.

02 · AI Operating System

The system that runs daily business tasks without being asked

The problem

Most automation stacks are rented. You wire together no-code tools, and the day a vendor changes pricing or shuts a feature off, your operation changes with it. Meanwhile the daily work still waits on a person to kick it off.

What we built

An AI Operating System built from scratch in Claude Code on our own framework. Claude Code and VS Code as the engine, wired to the Google Workspace CLI for command-line access to Gmail, Drive, and Calendar, plus API connections across the rest of the SaaS stack.

The result

Daily tasks run automatically instead of waiting on a human to start them. Email triage, document handling, calendar work, and CRM updates happen on schedule.

Why it holds up

The data and the processes live independent of any vendor. When a better model lands, the system carries over. Upgrade the top, never rebuild the base.

03 · Custom Voice-to-Text App

Replacing a $200/month SaaS tool with software we own

The problem

Scaling a business means constantly optimizing for efficiency. Our team was paying for Wispr Flow at 10 seats, $20 each. Two hundred dollars a month, every month, for a capability we could build.

What we built

A custom in-house voice-to-text application handling the same need with full capability, built on Claude Code, Python, and an LLM speech model via the Groq API.

The result

$200/month in recurring SaaS cost removed. The build paid for itself immediately and scales with the team at no added per-seat cost.

Why it holds up

Per-seat pricing punishes growth. Owned software doesn't. Every new team member costs zero.

04 · AI Second Brain

One searchable home for everything a business knows

Built and running in-house · Knowledge architecture

The problem

Business knowledge lives in six places and none of them talk. Notes in one app, processes in a doc, decisions in a thread nobody can find. When you ask an AI tool for help, it answers from general knowledge because it has no idea how your business works.

What we built

A Second Brain running on Obsidian and wired directly into Claude Code. It captures every note, process, and decision, and compounds a little more every day.

The result

Nothing gets lost. Context is one search away. And our AI agents pull straight from it, so they work like they actually know the business, because they do.

Why it holds up

It isn't locked to Obsidian. The same framework runs on Notion or whatever comes next. The knowledge stays yours.
